## The challenge

Damage reports, tenant requests, invoices: in many property management firms these processes run entirely by hand through an overflowing inbox. Every message is sorted, forwarded and documented manually across several systems. As the portfolio grows, workload and error rates grow with it, while qualified staff is hard to find.

## Our solution

We automate the recurring processes of your property management with AI agents and n8n workflows, connected to the software you already use. Reports are classified automatically, cases are created in a structured way, invoices are read and passed on. Everything runs [GDPR](/en/glossary/gdpr)-compliant on European infrastructure, and every approval stays with your team.

## Use cases

- **Capture damage reports automatically**: Incoming reports from email or web forms are classified by trade and urgency by an AI agent, created as a case and prepared for contractor assignment.
- **Triage and answer tenant requests**: Standard questions about service charges, responsibilities or documents are answered from approved templates, edge cases go to your team with full context.
- **Process invoices and receipts**: Incoming invoices are read, matched to the right property and handed to accounting in a structured format.
- **Keep data in sync across systems**: Master data from management software, spreadsheets and inboxes is merged into a clean central database on PostgreSQL and NocoDB.
