API limits define the maximum number of requests a system can send to an interface within a specific timeframe. These technical restrictions protect SaaS providers from overload but simultaneously create cost traps and scaling barriers for companies relying on marketing automation or AI agents.
API limits differ fundamentally from bandwidth restrictions or storage quotas. While the latter regulate data volume, API limits control the frequency of system interactions. A company can have unlimited storage yet still fail at 1,000 requests per hour when workflow automation requires 1,200. The constraint isn't in what, but in how often.
In B2B operations, API limits surface particularly during CRM synchronizations, email validations, or enrichment processes. A mid-sized company with 50,000 contacts wants daily engagement data updates. At 100 requests per minute, that takes over eight hours. When marketing increases frequency to real-time updates, it collides with the limit. The alternative: pricier tiers or manual prioritization of which data truly needs to be current. Both options cost either budget or precision.
The biggest trap lies in hidden cost structures. Many SaaS tools advertise generous limits in basic packages that suffice for pilot projects. Once AI workflows run in production and orchestrate multiple systems, requests explode. A single chatbot with CRM integration, sentiment analysis, and ticketing system generates not one API call per customer interaction but a whole chain of them. Your bill therefore grows with conversation volume, not with feature scope. Companies then pay not for features but for technical capacity.
When selecting tools, scrutinize API limits as rigorously as features. Demand concrete numbers: requests per minute, hour, and day, plus burst capacity for peaks. Ask about rate-limit strategies: throttling, blocking, or queuing? Test under production load, not with demo data. And calculate growth. A system running close to its limit today has no headroom for the next campaign. Migration then costs more than proper dimensioning from the start.
