Voicebot
A voicebot is a dialogue system that understands and responds to spoken language, usually over the phone. It chains speech recognition, language understanding and speech synthesis into a continuous conversation. Unlike a menu-driven IVR system, it responds to free-form speech rather than keypad input.
Voicebot, chatbot and IVR are often used interchangeably but describe different things. A chatbot works in text, an IVR system walks callers through a fixed menu ("press 1 for sales"), a voicebot holds an open conversation. Three stages run in sequence: speech recognition turns audio into text, a language model produces the answer, speech synthesis speaks it. Every stage costs time, and the total decides whether the conversation feels natural.
In day-to-day B2B use, a voicebot covers the calls nobody has time for: booking appointments, answering status questions, qualifying inbound enquiries, routing to the right department. The value rarely comes from replacing staff. It comes from calls outside office hours no longer being lost. For trades and service businesses, the missed call is the most expensive failure in the entire sales process.
The limits are real and belong on the table before the project starts. Once response latency noticeably exceeds one second, the conversation stalls and callers hang up. Regional variants such as Austrian or Swiss German are recognised less reliably than standard German, which drives up repeated questions and drop-offs. And every voicebot needs a clean escalation path to a human. Without it you lose precisely the callers who have a real concern.
From 2 August 2026, Article 50 of the EU AI Act applies. Anyone interacting with an AI system must be able to recognise it, which for voicebots means disclosure at the start of the call. The obligation only falls away where the use of AI is obvious to a reasonably observant person, and with a fluent-sounding bot it is not. Adding the notice afterwards means reworking call flow and recordings a second time.
