What we deliver

An AI voice agent answers phone calls, understands what the caller wants and turns that into an action: a booked appointment, a ticket, a CRM entry or a transfer to the right person. It does not replace your phone system. It attaches to the one you already run and handles exactly the call paths you define upfront.

Where a voice agent holds up

Voice agents work when a call follows a repeatable pattern and the outcome is unambiguous. Booking appointments, taking calls after hours, qualifying new enquiries, answering status questions. As soon as a call needs negotiation, professional judgement or de-escalation, a person is faster and cheaper.

On the phone, two things matter more than the choice of model: response time and the ability to interrupt. A caller who waits noticeably for an answer, or who cannot stop the agent mid-sentence, hangs up. Dialect and background noise come on top, especially with calls from a car or a building site. So we test against real recordings from your own call volume rather than studio speech.

Before we build anything, we also put in writing what the agent will not do:

  • no price negotiation, no binding commitments
  • no complaints, no cancellations
  • no conversation without a working handover to a human
  • no call whose outcome nobody can read back in a system

An agent that stops cleanly at that line and transfers is worth more to you than one that tries to finish every conversation on its own.

Disclosure is built in, not an add-on

Article 50 of the EU AI Act applies from 2 August 2026. Anyone speaking with an AI has to be able to recognise it. We therefore put the disclosure into the opening of the call rather than into a footnote: the agent states at the start that it is an automated system and names the route to a human. The same notice lands in the transcript and the call log, so you can prove the obligation was met. We do not clone the voices of your staff. If you want calls recorded, we settle the legal basis, the notice and the retention period beforehand rather than afterwards.

Infrastructure and data

The agent runs on self-hosted n8n, PostgreSQL holds state and logs, and NocoDB comes in where your team needs to see and correct data itself. Telephony connects over SIP, your calendar, CRM and ticket system over their APIs. We operate this on our own infrastructure in the EU rather than in a US cloud, and we document which call data sits where and for how long. Model routing has a fallback for the case where one provider goes down. If the link to a target system drops, the agent still takes the call and parks the case in a queue instead of leaving the caller with an error message.

Effort and getting started

The first agent gets exactly one call path and runs on a side number with limited volume before it goes anywhere near your main line. Cost depends on the number of call paths, the systems that have to be connected, and how well your process is documented. That is why we name figures after the first conversation, as a fixed scope offer. Bring two typical calls with you and we will tell you in that first call whether building this pays off or whether a better routing rule is enough.

The agent checks free slots in the calendar, books the appointment, sends the confirmation and attaches open questions as a note. The calendar API prevents double bookings.

That depends on how tightly the call reason is bounded and how accessible your telephony and target systems are. A single path with clean interfaces is finished much sooner than an agent expected to serve three systems without a documented API. After the first conversation you get a timeframe we hold ourselves to, not a blanket promise.

What do you need in place on your side?
A number or phone system that can be connected over SIP, and access to the systems the agent should write to, usually calendar, CRM or ticket system. Plus one person on your side who decides what the agent may say and where it hands over. If an API is missing, we check beforehand whether the case still makes sense.

How does the agent meet the EU AI Act and GDPR?
