Property Management Automation

We automate damage reports, tenant requests and invoice processing for property managers, with AI agents and n8n on EU-hosted infrastructure.

Overview

What we deliver

Digitalising property management means automating recurring work: damage reports, tenant requests, invoice processing and reporting run as defined workflows instead of email chains. Often that does not require new management software, existing systems get connected rather than replaced. Blck Alpaca builds the AI agents and n8n automations behind it, running GDPR-compliant on European infrastructure.

An inbox is not a process

Daily operations in many property management firms depend on a single email inbox. Damage reports arrive next to service charge questions, contractor updates next to owner requests. Every message is read, sorted, forwarded and documented by hand, often in several systems at once.

The problem is structural. Each additional building adds manual work, and with the work comes a higher error rate: missed deadlines, duplicate contractor orders, unanswered requests. Hiring more staff rarely solves it, the market barely supplies them. For property managers, automation is the realistic answer to a growing portfolio with the same team.

Automation instead of a software migration

Many digitalisation projects in real estate start with selecting a new management platform and end in a drawn-out migration. We start elsewhere: your systems stay, n8n connects them. A workflow receives the damage report, an AI agent classifies it by trade and urgency, and the case lands, structured, where your team works. No platform switch, no data migration, no weeks of training. How we scope and run such projects is covered by our automation consulting.

What we automate in practice

Four process areas come up in almost every firm:

  • Damage management: reports from email or web forms are captured, classified by trade and urgency, and created as cases, including a prepared contractor order.
  • Tenant communication: an AI agent answers standard questions from approved templates and hands edge cases to your team with full context.
  • Invoice processing: incoming invoices are read, matched to the right property and passed to accounting in a structured format.
  • Data synchronisation: master data from management software, spreadsheets and inboxes flows into one clean, central database.

Each workflow works on its own. You start with the process that costs your team the most and expand only once the first workflow holds up in daily use.

AI with clear boundaries

An AI agent never decides on money or legal questions by itself. It sorts, classifies, drafts replies and prepares cases. Approvals stay with your team, and every automated step is logged and traceable. That separates a properly built workflow from a chatbot that talks to tenants unchecked.

Tenant data does not belong in US clouds

Property managers process large volumes of personal data: names, addresses, bank details, correspondence. Our automations therefore run on our own infrastructure, with self-hosted n8n, PostgreSQL and NocoDB. Data stays in the EU, access is logged, and you always know which workflow processes which data. Data protection is part of the architecture, not a document added later.

Whether automation pays off for your portfolio is a question for a free initial consultation. We look at concrete processes and tell you plainly what is worth automating and what should stay manual. Get in touch.

Challenge & Solution
The situation

The Challenge

Damage reports, tenant requests, invoices: in many property management firms these processes run entirely by hand through an overflowing inbox. Every message is sorted, forwarded and documented manually across several systems. As the portfolio grows, workload and error rates grow with it, while qualified staff is hard to find.

Our approach

Our Solution

We automate the recurring processes of your property management with AI agents and n8n workflows, connected to the software you already use. Reports are classified automatically, cases are created in a structured way, invoices are read and passed on. Everything runs GDPR-compliant on European infrastructure, and every approval stays with your team.

Use Cases

01

Capture damage reports automatically

Incoming reports from email or web forms are classified by trade and urgency by an AI agent, created as a case and prepared for contractor assignment.

02

Triage and answer tenant requests

Standard questions about service charges, responsibilities or documents are answered from approved templates, edge cases go to your team with full context.

03

Process invoices and receipts

Incoming invoices are read, matched to the right property and handed to accounting in a structured format.

04

Keep data in sync across systems

Master data from management software, spreadsheets and inboxes is merged into a clean central database on PostgreSQL and NocoDB.

Our Process

01

Process review

In a free initial consultation we look at which workflows tie up the most time in your firm and where errors occur.

02

Concept and prioritisation

We check interfaces and feasibility and decide which workflow gets built first: the one with the best ratio of effort to relief.

03

Pilot workflow

We automate one process completely, test it on real cases and refine it until it holds up in daily operations.

04

Integration and expansion

Further processes follow step by step, connected to your management software, accounting and inboxes.

05

Operations and monitoring

Error handling, logs and ongoing adjustments included. You receive documentation your team actually understands.

Frequently Asked Questions

Answers about Property Management Automation

Preise

1
What does digitalising a property management firm cost?
It depends on scope: the number of processes, existing interfaces and the level of support you want during operations. After the free initial consultation you receive a transparent offer with clearly defined deliverables, no hidden items.

Ablauf

2
How does an automation project for a property management firm work?
In five steps: process review in an initial consultation, a concept with priorities, one pilot workflow, then step-by-step expansion and ongoing operations. You start with a single process and decide after the pilot whether and how to continue.
How quickly will we see first results?
The pilot workflow is deliberately small so your team works with a real, productive process early on. How fast that happens depends on the scope and the interfaces of your systems. You get a realistic estimate in the initial consultation, no blanket promises.

Technologie

1
What do we need to get started?
Nothing special. Management software with an export or API helps, but an email inbox is enough as a starting point. More important is one person on your team who knows the processes and acts as the project contact.

Compliance

1
How do you handle tenant data and GDPR?
Our automations run self-hosted on EU infrastructure, not in US clouds. We work with data processing agreements, data minimisation and logged access. Which workflow processes which data is documented and traceable at all times.
